Common email record faults

A missing DKIM key, an SPF record that leaves out the invoicing app, or two SPF records on one domain. Gmail requires senders to pass SPF or DKIM (Google).

SPF, DKIM and DMARC

SPF

Which servers may send for you?

The services allowed to send mail as your domain. One record per domain.

DKIM

Was the message changed on the way?

A signature on each message, checked against a key in your DNS.

DMARC

What should happen if a check fails?

What receivers should do with mail that fails, and where to send reports.

Example records for Google Workspace plus an invoicing app:

yourbusiness.com TXT "v=spf1 include:_spf.google.com include:invoicing-app.example -all" google._domainkey.yourbusiness.com TXT "v=DKIM1; k=rsa; p=MIIBIjANBgkqh…" _dmarc.yourbusiness.com TXT "v=DMARC1; p=quarantine; rua=mailto:reports@…"

Standards: RFC 7208 (SPF), RFC 7489 (DMARC).

How we set up your email

  1. List everything that sends as you

Mailboxes plus forms, booking, invoicing and newsletter tools.

  2. Create the mailboxes

Accounts, aliases and shared addresses, and help signing in on your devices.

  3. Publish SPF, DKIM and DMARC

One SPF record for every sender, DKIM keys, and DMARC in report-only mode to start.

  4. Test

We send test messages and check the results.

  5. Read the reports and tighten

When the DMARC reports look clean, we tighten the policy.

  6. Monthly reports

A summary of who sent as your domain. Tell us when you add a new sending tool.

Moving from another email host

From an old web host or internet provider.

  • We create the new mailboxes first, then copy existing messages, contacts and calendars across ($35 per mailbox).
  • We switch the MX records at a quiet time.
  • We help you update phones and computers.
On domains that send no mail, we publish v=spf1 -all and a DMARC reject policy, on every plan.
